Full-Time | Exempt | $75,000 annually
Reports to: CEO & President

Since 1926, the Bend Chamber has been here for the business community. Representing more than 1,600 businesses and 25,000 employees, our mission is to create an environment where businesses, their employees, and our community excel together.

Through our nonprofit arm, BendNEXT Foundation, we support leadership development, education, and innovative programs to shape Bend’s future.

The Operations Manager is the backbone of the Chamber’s internal infrastructure, ensuring our systems, finances, HR, and governance run smoothly and with integrity. This role provides essential operational leadership so that staff, leadership, and the Board can focus on advancing our mission.

Position-related duties and responsibilities:

General Office Management (20%)

  • Manage vendors, contracts, purchasing, and general upkeep of office space.
  • Oversee workflows and improve operational systems.
  • Coordinate staff tech needs and serve as the liaison for IT vendors.
  • Manage Chamber shared email and voicemail.

Finance Management (20%)

  • Supervise the Accounting & Data Specialist.
  • Oversee Chamber and BendNEXT banking, investments, and reconciliations.
  • Partner with CEO and Directors to develop and manage annual budgets.
  • Ensure accuracy and transparency in financial reporting.
  • Manage bi-weekly payroll process.

HR Management (20%)

  • Stay current on HR policies, compliance, and certifications.
  • Manage payroll, 401(k), and benefits administration.
  • Support recruitment, onboarding, and employee performance processes.
  • Coordinate employee appreciation and recognition efforts.

Board of Directors Management (20%)

  • Partner with CEO to prepare agendas and meeting materials.
  • Attend and take minutes at Executive Committee and Board meetings.
  • Prepare financials and supporting documentation for Board packets.
  • Maintain bylaws, policies, rosters, and governance materials.
  • Help plan Board retreats, interviews, and special committee work.

Executive Support (20%)

  • Provide scheduling and communications support for the CEO.
  • Assist with CEO correspondence, priorities, and organizational tracking.
  • Serve as a trusted partner on sensitive and time-critical matters.

Your Key Attributes and Skills:

· Exceptional organizational and project management skills.
· Financial literacy, including GAAP standards.
· HR and benefits management knowledge.
· Board governance understanding and discretion with sensitive information.

Position Requirements:

· Bachelor’s degree in business, nonprofit management, HR, finance, or related field (or equivalent experience).
· At least 5 years of progressive high level administrative, operations, HR, or finance experience, including 2 years in a supervisory role.
· Strong knowledge of financial practices (budgeting, GAAP, QuickBooks Online) and HR compliance.
· Experience working with Boards of Directors and nonprofit governance.
· Excellent organizational, project management, and communication skills.
· Proficiency in Microsoft Office Suite, Zoom, AI tools and CRM/database system knowledge.
· High level of discretion, adaptability, and collaborative problem-solving.

Working Conditions:

· While this is primarily an in-office/indoor position in a well-lighted office environment, execution of events will include various offsite locations primarily in Bend, both indoor and outdoor.
· Moderate physical effort, including lifting, carrying, writing, squatting, driving, sitting, standing, talking, hearing, walking, seeing.
· Ability to lift up to 40 pounds frequently.
· Representing the Chamber at events will often require working evenings with occasional to frequent longer workdays.
· Ability to drive to and from Chamber events, which necessitates access to a reliable vehicle, a clean driving record and valid insurance.
